GENERAL TERMS

By registering for The Night Train Festival, you confirm that you have read and accepted the following terms. If you do not agree, you cannot participate. 

The festival is open to participants aged 18 and over.

 

REGISTRATION PROCEDURE

1. Please complete the registration form with your correct details.

2. You will receive a payment link via Appsticket/Tailor (Tanzraum account).

3. After payment, enter your booking number in the form.

4. Your spot is confirmed automatically after payment.

5. No separate confirmation email will be sent.

6. All updates will be communicated by email.

 

PAYMENT & TRANSFER

• Tickets are non-refundable.

• In exceptional cases, refunds may be considered at the organizers’ discretion.

• Tickets may be transferred to another person with the same pass type (and level if applicable).

• Transfer requests must be sent at least 5 days before the event to: info@groovestationcollective.de

 

Please include:

• Name of original participant

• Ticket type

• Name and email of new participant

EVENT CHANGES

The organizers reserve the right to make reasonable changes to the programme due to circumstances such as illness of artists or changes in venue. This may include adjustments to the schedule, teachers, bands, venue details, or pricing. Any changes will be communicated via email or the official website.

FORCE MAJEURE

In case of circumstances beyond our control (including pandemics, natural disasters, strikes, war, or government restrictions), the event may be modified, postponed, or cancelled.

In such cases, participants may be offered a partial refund after administrative and already incurred costs are deducted. If possible, participants will also be offered the option to transfer their ticket to a new date or an alternative solution.

 

DATA PROTECTION & IMAGE RIGHTS

Personal data (such as name, email, and phone number) is used only for event administration and communication. Data is stored securely and is not shared with third parties.

 

Participants acknowledge that photos and videos may be taken during the festival. These may be used to document and promote the event. The organizers are not responsible for third-party use of such material without permission. By attending, participants agree to the use of their image as described, in accordance with applicable data protection and personality rights laws.

 

If you prefer not to appear in photos or videos, please inform the organizers or the photographer during the event. We will make reasonable efforts to respect your request. If you would like a specific image or video of you to be removed, please contact us at info@groovestationcollective.de. The content will be removed where reasonably possible.

 

LIABILITY (INJURIES & THEFT)

Participation is at your own risk. The organizers are not responsible for injury, loss, theft, or damage to personal belongings, except in cases of proven negligence. Participants are responsible for their own safety and belongings. Found items will be collected and can be claimed during the event.

 

CODE OF CONDUCT

The Night Train Festival is an event based on respect, consent and community care.

We expect all participants to:

• respect personal boundaries

• dance safely and considerately

• avoid unsolicited teaching on the social floor

• apologize for accidental collisions

• follow a respectful and inclusive atmosphere

Aerials are not allowed on the social dance floor.

The organizers reserve the right to remove participants who behave inappropriately or dangerously without refund.

By completing registration, you agree to these terms and conditions.
